Illinois TRS is a statewide public retirement system, one of the 30 largest public pension plans in the country. TRS provides retirement, disability and death benefits to teachers employed by Illinois public elementary and secondary schools outside the city of Chicago. The System is governed by a 15-member Board of Trustees.

HR Administrative Assistant Responsibilities

This position will assist the HR Director and the HR Operations in carrying out all day-to-day administrative, coordination and support functions. The incumbent in this role will need to be attentive and detailed oriented and shall operate with the utmost regard for confidentiality.

Essential Functions

  • Review and correspond to HR Services emails
  • Perform administrative tasks associated with recruitment, pre-onboarding, new hire process, leaves of absences, employee transactions, employee recognition, email announcements, organization charts, budget and travel coordination, timekeeping and offboarding
  • Perform daily filing and maintain personnel files in accordance with employee confidentiality, policies and procedures, and all regulatory requirements. Assist with record management retention schedules and related activities
  • Assist with uploading and maintaining content on the HR SharePoint page
  • Update and monitor various spreadsheets for compliance tracking
  • Assist with the overall HR organization and workflow process
  • Maintain absolute confidentiality of both employee and company information
  • Perform other duties as assigned

Qualifications

  • High school diploma or equivalent
  • Two (2) + years of experience providing administrative support for the Human Resources function
  • Industry related certification PHR or SHRM-CP, IMPA-CP preferred
  • Bachelor’s degree strongly preferred
  • Knowledge of employment laws
  • Time management and organization skills
  • Written and verbal communication skills
  • Ability to be discreet and maintain confidentiality
  • Ability to demonstrate professionalism
  • Multi-task in a fast-paced environment
  • Ability to be attentive and detailed orientated
  • Ability to use computer, various computer software, fax, scanner, multi-line phone
